Project Managers

  • We updated the ability to mass complete a Project, Project Tasks, User Stories or R.A.I.D. Items.

A button will now appear on the Ribbon and Sub Grids that allows you to mark all items complete, disable Time Entries and set the remaining hours to 0.

These buttons are named according to the function:

  • Complete Project
  • Complete Task
  • Complete User Story
  • Complete R.A.I.D. Item

The messages displayed for each of these actions, when prompting you to continue, have been updated to properly reflect the action that is going to take place and allows you to stop if that isn't your intended action.

 

Project Resources

  • We enabled multiple time entries per day per project task/user story.
This feature will allow you to add multiple time entries on the same day. You can also set the entry to billable or non-billable.
You can access this by going into your time sheet and double clicking on the day of the week for the associated Task or User Story. A  new window will pop up providing you the previous time entries and an "Add" button that can be clicked for a new entry.
 
With this update you will be able to more accurately reflect the time spent on tasks and projects, with improved oversight for your managers. For more information, see KA-01016, Entering and Approving Time.
  • We updated the status of a Time Sheet so that you are aware of the system updating your Time Entries.

After you have added, edited or deleted a Time Entry on your Time Sheet and clicked Save, your Time Sheet will go into an "updating" status while the system works to process your updates. The record will be inaccessible until the system has finished processing.

Once the system has completed processing the updates, the status will change to "Completed" and the record will once again be accessible.

  • Updates to Time Entries have been introduced that will now show you the "Rejected Reason" if your time entry has been rejected. We also added some text to the description box and reordered the columns so entry makes more logical sense.

With the "Rejected Reason" displayed on your Time Entry, you can edit the entry to correct the issue and once edited, it will be set back to "Confirm" status and resubmitted for Approval. This should make a smoother process for getting your entries approved.

Account

  • We removed the Business Process Flow and added buttons to Prioritize, Qualify, Disqualify and Nurture the Account.

This enables transitioning to the different Account Stages easier without the cluttered flow but still maintains the Account funnel.

  • We added an Onboarding Date that appears when the Account Stage moves to Implement. This date has a configuration setting that allows you to set the number of days that the Onboarding Date must be within and will provide an error message to the user if they try to exceed that date.
  • We added a Last Activity Date to the Account so that you can see the last time an activity was completed. 
  • We removed First/Last Time Entry and Actual Duration from forms to provide cleaner viewing of information.
  • We updated the site map (left navigation) for easier navigation and consistency of where information resides.
  • We added changes to the "Nurture Reason" to allow you to set default reasons specific to your business. The Configure area has been updated to include the setup of these reasons.

 

Contact

  • We updated the Contact to have a Last Activity Date so that you are aware of the Last Activity that was completed for that record.
  • The Contact Lead Score now increments whenever an Appointment is completed or an Email is opened or replied to.

This provides a better indication of the Contact's true Lead Score.

 

Opportunity

  • We updated the closing date of an Opportunity to today's date by default.
  • We added a button called Save & New to Opportunity Lines that allows you to save and create again.
  • The Last Activity Date is now visible and provides the date of the last completed activity for the Opportunity.

The activities included for this are:

  • Appointment
  • Email
  • Phone Call
  • Other activities
  • We added Stage Duration to show you the number of days the Opportunity has been in the current stage.
  • We introduced an Age field that is a visual representation of the number of days the Opportunity has been open, regardless of stage.

This should give you a good idea of how many days the Opportunity has been open and can be used for funnel reporting.

  • Throughout the Opportunity Process Flow, we added fields for the following:
  • Identify Stakeholders
  • Identify Competitors
  • Add Products
  • No Competition
  • No Other Stakeholders
  • Current Situation
  • Customer Need
  • New Reality

When these fields are updated they will automatically be set to complete in the Opportunity Process Flow requiring less interaction from you to move the Opportunity to the next stage. 

A visual representation displays at each stage of the Opportunity Process Flow to allow you to see at a glance any items that must be completed before you move forward.

 

General

  • We updated views for Account, Contact and Opportunity to provide better knowledge of the records at a glance.
  • We disabled the Add button when the parent entity is inactive.
  • We enabled Virtual Scrolling on our Data Grids so that loading large amounts of records is easier on the system and provides a better experience.
  • We moved "Onboarding Date Interval" and "Invoices" to the Sales tab in the Configure Area for System Admins.
