Outbound sequencing is a powerful tool, especially the way it’s built in TekStack.

What makes TekStack’s tool so effective is that it integrates to a user’s own Outlook account. This provides the highest probability that sent emails will be delivered to the recipient’s inbox. Why? Because Microsoft 365 accounts are automatically setup for security protocols to authenticate emails that are received.

However, it’s really easy to treat outbound sequencing as a mass email machine. If you abuse this feature, one major consequence is that your users will be blocked by Windows Defender, thus affecting your domain reputation.

Domain reputation risk can occur if:

  • You send too many of the same emails on the same day.
  • Too many of your emails bounce.

Therefore, it’s very important for you to do the following to preserve your domain reputation.

  1. Train users to build impactful low volume sequences.

Your sellers should build thoughtful sequences with choreographed steps. The beauty of sequencing is the mix of automated steps such as emails with manual steps such as phone calls and LinkedIn touches. Check out our great blog articles on outbound sequencing at TekStack.com.

  1. Verify emails.
If you have a high bounce rate on your emails, this will impact your reputation. The easiest way to prevent bounces is to use tool such as www.neverbounce.com or www.verifalia.com. These are inexpensive products that will run your list through their service and classify the email addresses as Verified, Risky, or Undeliverable. Any contacts that are undeliverable should be either cleaned up (for example, maybe correct contact but wrong email address), or deactivated.
  1. Set sequence participant limits.

In the Configure area of the TekStack app, you can set a maximum number of running sequences per user. And you can set the maximum number of sequence participants created at one time. We would recommend no more than 150 new sequence participants per day. (That is the number of contacts added to a sequence daily.)

For example, we would set the Max Number of Running Instances per User at 10,000. This is roughly the equivalent of 150 per day over three months.

  1. Warm up new email accounts.

If you have a new user or are new to TekStack Outbound Sequencing, it's best to warm things up. Try not to send high volume sequences right away. Focus on low volume sequences with manual steps. Also make sure the email addresses are fully verified.
You’ll need about three months of good email sending history to stay on “good terms” with Windows Defender. The last thing you want is for your email account to be blocked as soon as you start!
