For either time based or fixed price projects, TekStack captures the total revenue of the project. It also shows labour costs that are attached to a resource, or a resource’s role. Using information including Budgeted Gross Margin, Actual Gross Margin, and Estimated Gross Margin, you can track which projects are hitting a gross margin threshold, and which are not.
TekStack makes tracking change requests easy by providing an approval process, but also by allowing project managers to track variance at a detailed level.
TekStack allows you to track utilization at a resource level. Identify who is at or under target and what resources were scheduled to do against what they actually did. Track to a project level where the gaps are.
Using Microsoft tools that you may already be familiar with, TekStack’s integration with Teams and SharePoint makes it easy to manage documents and work together with both team members and customers. Communicate from every app and on any device with Teams. Share documents easily and quickly. Link directly to project-related OneNote files for detailed notes making them available to all who need to see them.

What does it do?
Project Oversight and Reporting
- A breakdown of all work items outstanding on all projects.
- Dashboards showing active projects, your outstanding approvals, resource timesheets missing, resource assignments, backlogs.
- Budget hours and costs, actual hours and costs, sales projections based on actual hours and effort estimate at completion (EAC) including breakdowns for both Fixed Price (FP) and Time and Materials (T&M).
- Gross margins on budget, sales and projected costs.
Project Set Up
- Build from scratch or use customizable templates.
- See a visual layout (Gantt chart) and list layout.
- See all the details of the project from start to finish in a Details record.
- Capture and manage notes and attachments in a timeline, issue log, or associated Microsoft One Note that you can share with others.
Best practices recommendations are to:
- Use your One Note to keep meeting notes and project documentation links.
- Use your Issue Log notes to see an easily accessed list of project checklists, actions, issues, risks and decisions.
- Use your timeline notes for miscellaneous notes that don’t fit into other categories.
Resource Management
- See available resources for all projects as well as assigned resources on individual projects including hours assigned, actual hours completed, remaining hours and EAC.
- From the Resources List, you can see costs, utilization targets, as well as roles. A Utilization Report lays out all assigned resources with booked, actual and remaining time.
- In each project, you can see a list of resources’ time entries.
- Easily approve time on one project in time entries, for all projects on timesheets.
- See the project requirements by role. These can be set up from scratch when you set up tasks or from a template.
- You can see a list of all invoices that have been prepared for the customer. This functionality will only work if you have subscribed to TekStack Revenue.
- Access related documentation in shared folders in an account-based SharePoint site.
- Chat with team members using Microsoft Teams.
- Easily access all accounts and contacts, available across all areas of TekStack.
- Costs for resource costing, price lists for role pricing, project roles, and optional time categories.
- Project classifications, task classifications and user story classification so you can later analyze where your teams are most effective.
- Product Project mapping allows an implementation project to be set up automatically notifying related personnel as soon as a product is sold.
- Templates for simplified set up of Projects, Tasks, User Stories and Actions.
- Gross margins on your FP and T&M projects, hours for working days, months and hours to see your project.
What you’ll see
In the Delivery area of TekStack, the left navigation pane gives you access to four important sets of functionality: My Work, Project, Resource Management, and Customers.
My Work
- My Work
My Work shows different dashboards in the following views.
- Project Oversight
Project Oversight shows you different system dashboards. These dashboards are created to give you project information at a glance.
- Activities
Activities shows you lists of your work items. This is where you’ll start your day.
Here are some different views. Similar to the lists in other areas under Activities, this is integrated across the software.
Project
Under Project, there are relevant lists for you to work with—a list of projects, the Issue Log, lists of time entries for your approval, and time sheets.
- Projects
This is a list of all your projects, active or inactive. It also includes the project templates you use to create project of a similar nature, saving time and effort.
- Issue Log
This shows lists of issues open and closed as well as templates you have created for action items that are similar in nature.
- Time Entry Approvals
This defaults to Project Approvals. Here you can see various other views of time entries.
- Time Sheets
This shows various views of time sheets.
Resource Management
Under Resource Management, you can set up and manage your project resources. The utilization report gives you valuable information that can show gaps in productivity.
- Resources
This shows a list of resources, both active and inactive as well as those missing time sheets.
- Utilization Report
Among other views, the main Utilization Report can be run from here.

Expand the resource to see the hours that were booked on specific projects.
Customers
Under Customers, you will see your database of accounts and contacts. This is integrated across all the areas of TekStack.
