Activities create your daily routine. Use activities to plan, track, and organize all your customer communications. For example, you can take notes, send email, make phone calls, set up appointments, and assign yourself tasks as you work on a sale or resolve a service case. These actions are all considered types of activities.

The system automatically timestamps every activity and shows who created it. Every activity is shown in the Contact timeline and the Account timeline. You and other people on your team can scroll through the activities to see the history as you work with a customer.

It's important for everyone in the organization to track all their customer interactions by adding an activity for every email, phone call, task, or appointment. That way, a customer's history is complete.

There are currently two kinds of activities in TekStack--SalesSpark activities and Timeline activities.

Note: In TekStack, SalesSpark is known as Sales Accelerator. You will see these two labels used interchangeably in the software.

Sales Accelerator activities are created for each step in sequences that are built in the Outbound area. Timeline activities are those you create in other areas of TekStack.

All activities are visible in every area. You can see them under My Work>Activities in the left navigation. Activities are your daily To-Do list.

You have many options for views of your activities. Overdue activities show at the top of the list. After those are the Activities that are due today.

You can sort and filter activities to maximize the efficiency of your workday.

The main activity types include tasks, emails, appointments, phone calls, Sales Accelerator (SalesSpark) emails and, in sequences, may include automatic emails, manual emails, generic tasks and LinkedIn activities.

As Sales Accelerator activity types are used in sequences, details about each type are explained in Build a Sequence.

When these activities show up on your Sales Accelerator activities list, you can open them to show some basic information about the activity and the form you created originally. You will see examples below.

The Info tab offers additional fields to enter more detail about the activity and the contact. It is similar for all activity types.

Note: The name of your activity is always the subject you enter for the email, phone call, task, etc.

Manual Email

This is a reminder to send a manual email.

  1. Open the activity record and, if necessary, update the content with information specifically related to the contact, or account. If it is a scheduled activity, you will see a banner with the date.

  1. Click Save.
  2. Send a Send Test Email (optional) or, when ready, click Send.

Generic Task

This is note to yourself to perform a specific task.

Once the task is done, click Mark Complete. The Sequence Action will not continue until the activity is marked complete.

Phone Call

This activity alerts you to call a Contact. Record the information about the call and what the outcome was.

Automatic Email

These actually will not show up in your list of Sales Accelerator Activities because they are handled automatically, but you will see them in your Activities list before they launch.

A scheduled automatic email will appear in your list of participants (sequence instances).

You can click the record (in the Next Activity column) to open it and you will see that it is a scheduled automatic email.

LinkedIn

When you set up a Linked In activity in a sequence, there are several out of the box LinkedIn options.

  1. When the activity is due, open the activity to see the action you plan to perform.

On the right side you will see the LinkedIn Profile URL area.

  1. Click on the magnifying glass to search.

It will search by name (if an account is set on the Contact record) and company name. You can see the keywords it searches, and you can adjust those if needed.

This will take you to search results on LinkedIn.

  1. Click on the right person.
  2. Copy the URL in the address bar.

  1. Paste the URL in the LinkedIn box and click Save.

Now that URL will be saved to a LinkedIn field on the Contact record. The next time you have a LinkedIn task for this person, their URL will show up here. You can press the globe icon to go directly to their LinkedIn Profile.

When you click that icon, it will also copy the text from the editor area to your clipboard so you can paste it into a message in LinkedIn.

  1. When you are done, go back to the Activity and click Mark Complete at the top.

All activities

In each activity there is an field to fill in for Sequence action. The options are Automatic, Finish, and Skip To. This is what will happen after you mark the task as complete or send the email.

  • Automatic: Activity goes to the next step. This is the default.
  • Finish: Ends the Sequence Instance after this step. No more steps will occur. Note that if this is already the last step, that will happen automatically, you do not need to choose this value.
  • Skip To: This option allows you to send this contact to a future step in the sequence rather than go to the immediate next step. It will produce another drop down field for you to choose which step to skip to. If this is the last activity in the Sequence, Skip To will be disabled.

Each Activity has an Info tab that shows information about that particular Activity and information about that Contact.

Each activity is timed to launch when the previous one is completed.

For example, the first step is a manual email, and the second step is a LinkedIn task set for three days later. However, the manual email task is completed four days late. Therefore, the LinkedIn task will not be created on the third day but rather on the seventh day (three days after the email task is completed).

Timeline Activities

Timeline activities are those you set up elsewhere in the software and not in a sequence. You can see this option in the Account record under the Timeline tab, in the Contact record under the Summary tab, and in the Opportunity under the Timeline tab, and from any area under Activities, shown in the left navigation.

If you add a Timeline Activity to a Contact or an Opportunity, it rolls up to the Timeline for the Account.

You can see in all examples that your Activity options include Appointment, Email, Phone Call and Task. As well, in Account and Contact, you can add a note to enhance the information on your customer interactions.
