Once a project is ready to go, you need to assign resources to it. There are a couple different ways to do this. We’ll explore a few of the options.

Let’s begin by opening a project.

  1. From the left navigation, click on an active project.

  1. Click a task or user story from the Schedule list. Then click the Resources tab. Here you can choose a Primary Resource, but it’s not required.

Option #1 – Add an Available Resource

This is a good option if you know who has availability on your team, and who has the skills for the job.

  1. Click the + sign.

  1. Fill in both fields, Role and Project Resource. If you already filled in the Planned Role in the task, the Role field will be specified.
  2. Place your cursor in each field, as necessary, and press Enter to see the list of available roles and resources.
  3. Click Save. This opens a detailed form showing more information about this resource assignment. Note all the fields are locked (shown by a lock icon) and will be calculated elsewhere in the system.

That resource now appears in the list under the Resources tab in the task or user story. If no other resources have been assigned, that resource will show as the Primary Resource.

You just assigned all the task hours to a single resource. If you add another resource to this task, the hours will be divided between the resources.

Note: The hours do not distribute evenly in the Resources list. To easily rearrange the hours for your resources, see Redistribute Your Resource Hours. This means you can assign hours the way you want. 

Option #2 – Find an Available Resource

When you have many resources working on different projects, it can be hard to know who has availability on your team for a specific role. Here’s how you can find a resource.

You have opened a task or user story from the Schedule list. You have selected the Resources tab. If a task has not yet been resourced, the Find Resource icon will appear in the ribbon.

  1. Click the icon. The Find Resource form appears.

You will see the:

  • Date Range of the task shown. You can change this date. If you change it, the date of the task will reflect this change.
  • Book Hours shows the budgeted hours for the task and the number already booked.
  • Role for the task. This may be blank if the role has not yet been selected. You must select a role to see a list of resources.
  1. Click Search.

Resources shown are those available for the total number of task hours.

If you click Show all resources, the list will expand to include those resources who have less than the total number of task hours available. When the list is expanded, it may show those who are not available for the dates selected.

  1. Select the resource you want for this task and click Book Resource.

You can book multiple resources on a single task. The function will divide the hours equally among the selected resources. You can always change the hours here.

The booked resources will now be listed in the Resources tab.
