Logging time is necessary for Time & Material projects that are billed to clients. You’ll probably choose one way that suits you to enter your time entries regularly. Find out how here.
There are three ways to submit time entries.
- Add time on a project.
- Add time in a task or user story.
- Add time to a time sheet.
- In the Project, click the Time tab.
- Under Project Time Entries, click the + sign. The New Time Entry form appears.
If you toggle the Delegate Time switch, you can enter time for someone else. You must enter the name of the resource for whom you are entering time. This feature is dependent upon your security role.
Note: If you do not toggle the switch, you will enter time for yourself. The Delegate Time functionality is convenient for a project manager who might want to enter time on behalf of a resource.
- Click Project Task or User Story. The selected item turns blue and the field aligns with the selection.
- Select the task or user story by clicking in the field and pressing Enter. The list of tasks or user stories will appear.
- Select the role you were performing while doing this work item. This may auto-populate depending on the work item. You can change it.
- Enter a description of the work.
- Enter the date the work was performed.
- Enter the duration and the remaining hours. This allows flexibility in the number of hours you take to do a work item. Note, however, that the maximum number of hours you can enter in a work week is 168.
- Click Save. The entry is automatically confirmed. The entry now shows in the list of Project Time Entries. It can be approved or rejected by an approver from here.
- Click the X in the upper right corner to close the completed entry.
- From the Project Schedule tab, click the Task or User Story to open it.
- Click the Time tab and then click the + icon.
- Fill out the form.
If it appears, you can toggle the Delegate Time switch to enter time for someone else. This depends on your role. If you delegate time and select a resource, the role will default to their default role. You can change it.
As the task or user story has already been selected, it doesn’t need to be added to the time entry.
- Enter the date the work was performed.
- Enter a description of the work.
- Enter the duration. The remaining hours will autopopulate. You can change the remaining hours. Note that the maximum number of hours you can enter in a work week is 168.
Note: The non-billable option can be toggled if the project classification is so configured.
- Click Save. The entry is automatically confirmed. It can be approved or rejected by an approver from here.
The entry now shows in the list of time entries for the specific task or user story.
- Click the X in the upper right corner to close the completed entry.
Add Time to a Timesheet
- From the left navigation, click Time Sheets. Each person on the project has a time sheet for each week.
If the time sheet for the week you have done work is not there, create a new one. Learn about this in See How Time Sheets Work for You.
- Select the date range of your time sheet, the week you performed the work.
In the time sheet, there are several ways to enter your time for work performed.
- Directly In the row next to the work item in the project.
- In a Details pane, where you can add a description as well as the hours worked.
- As a new entry on a project--the method described above in Add Time on a Project.
