You’ve set up the basics of your new project and now you need to add tasks and user stories to the schedule.

  1. From the Project Schedule, click Add. Depending on how you set your project, this button will change. You can set up Child Tasks, Dependent Tasks and User Stories from this button. The New Project task form opens.

  1. Decide if you want to use a task template or not. You can also choose to make it a Milestone task. See Create a Milestone Task for more information.
  2. Fill in the following fields. Required fields have an asterisk next to them.

Name - Define the task. Required.

Description - Add a description of the task.

Start Date - Select the start date from the calendar. Required.

End Date - Select the end date from the calendar. Required.

Parent Task – This type of task groups tasks together. All the hours of regular child tasks roll up to this task. You might use this functionality to group tasks that will be billed at an established milestone.

Budget Hours - How many hours do you expect the task to take?

  1. Click Save. The Project task form opens.

You will see tabs where you can add more information. They include General, Details, Dependencies, Resources, Time, User Stories, R.A.I.D. and Related. Each of these tabs serves a different purpose.

General

This tab provides an overview of the information you just added. It includes additional fields that default from the Project Overview such as Billing Type, Status and Status Reason. All fields in this tab are unlocked and can be changed.

Details

This tab gives you greater detail about a project task. Most fields are locked (showing a lock icon) because they are calculated automatically from other parts of the system.

You can change unlocked fields. These include Planned Role, Classification, and Costing Currency.

Dependencies

If you did not mark a task as dependent on another, you can add it here. This will set up a dependency on this task meaning that you cannot start the successor task until the predecessor task is complete.

Resources

Click the Resources tab to see a list of resources you have booked to the tasks. Although this is not required, you may want to add a team lead (Primary Resource) here.

If you have not booked any resources to this task, you can click the Find Resource button to see what resources are available to perform the task. See Book Resources to a Project for more information.

If you added a Planned Role in the Details tab of the Task, that role will appear in the New Project Resource Assignment.
Click the + sign to open the form. Here you can enter the name of the resource you would like to assign to this task.

Once you fill in that resource and click Save, a more detailed form opens. Fields in this form are locked because they are calculated automatically.

Time

This is where Project Resources can add a Time Entry for work done on the project.

As Project Manager, you can toggle the Delegate Time to allow you to enter time for a Project Resource.

Note: If you do not toggle the switch, you will enter time for yourself. This is convenient functionality for a project manager who might want to enter time on behalf of a resource.

User Stories

If user Stories are associated with this task, any hours connected to them will appear here.

R.A.I.D.

This will list R.A.I.D. items that are associated with this task.

Related

This displays the Audit History which presents a full list of changes made to the account including the date, time, and user who made the changes. Background Processes would be used by an Administrator only.
